System age and refrigerant type. This is the biggest single factor. Systems built before 2010 mostly run on R-22, which is no longer produced and is expensive when a repair calls for it. Systems from roughly 2010 to 2025 run on R-410A, which is still widely available. New equipment now ships with A2L refrigerants such as R-32 and R-454B, which require different handling and service tools. A refrigerant repair on an R-22 system can cost two to three times what the same repair costs on an R-410A system, purely because of the refrigerant.
Part availability. Universal parts such as capacitors, contactors, and standard motors are on the truck. Brand-specific control boards, ECM motors, and coils may have to be ordered, which adds a day or more and sometimes a higher part price.
Accessibility. A condenser in an open side yard and an air handler in an unfinished basement are quick to work on. An evaporator coil above a finished ceiling, a unit crammed into a closet, or a rooftop condenser adds labor to the same repair.
Single-stage versus variable-speed equipment. Older single-stage systems use simple, inexpensive components. Two-stage and variable-speed systems are more efficient, but their inverter boards, ECM motors, and sensors cost more to replace when they fail.
Warranty status. Most manufacturers cover parts for ten years when the system was registered at installation, and compressors sometimes longer. If your system is under parts warranty, you pay labor and refrigerant but not the part, which can cut a coil or compressor repair substantially. Bring the installation date and serial number to the visit if you have them.
The rule of thumb most technicians use is simple: multiply the system's age in years by the repair quote. If the result is over about $5,000, replacement usually makes more financial sense. A $600 capacitor and motor job on an eight-year-old system is an easy repair. A $2,500 compressor on a 14-year-old system fails the test, and that is before counting the higher energy bills and the likelihood of another major part failing within a year or two.
Homeowners often ask whether it is worth repairing a central air conditioner that is over ten years old. The honest answer is that it depends on what failed. A minor electrical or drain repair on a system that is 10 to 15 years old is almost always worth doing. A major component failure, meaning the compressor, the evaporator coil, or a large refrigerant leak on an R-22 system, is the point where most systems in that age range should be replaced instead. Past 15 years, even mid-sized repairs deserve a replacement quote alongside them, because a new system will run at a higher efficiency rating and start a fresh warranty.

Most of the big-ticket failures in the table above start as small problems. A dirty filter restricts airflow, the evaporator coil ices over, the compressor runs hot, and a $20 filter becomes a $2,500 compressor. A dirty condenser coil raises head pressure and shortens the life of the fan motor and the compressor. A weak capacitor makes a motor draw more current every time it starts until the motor burns out.
Two habits prevent most of it. Change or clean the filter every one to three months during cooling season, and have the system tuned up each spring before the first hot week. A tune-up includes checking the refrigerant charge, testing capacitors and contactors under load, cleaning the coils, clearing the condensate drain, and measuring temperature split across the coil. Weak parts get caught while they are still a small repair rather than a summer breakdown.
